At Aqlobxey Hotels & Resorts ("Aqlobxey," "we," "us," or "our"), we understand that travel plans can change. This Cancellation Policy outlines the terms and conditions regarding cancellations, modifications, and refunds for reservations at our properties.

Please read this policy carefully as it forms part of our Terms and Conditions. By making a reservation with us, you agree to be bound by this Cancellation Policy.

2. Cancellation Policy Overview

Our cancellation policies vary depending on the property, room type, rate plan, length of stay, and time of year. The specific cancellation policy applicable to your reservation will be clearly displayed during the booking process and in your reservation confirmation.

Generally, our cancellation policies fall into the following categories:

Flexible Rate

Cancellations or modifications are permitted up to 24 hours before the scheduled arrival date without penalty. Cancellations made less than 24 hours before arrival will incur a charge equal to one night's stay.

Semi-Flexible Rate

Cancellations or modifications are permitted up to 3 days before the scheduled arrival date without penalty. Cancellations made less than 3 days before arrival will incur a charge equal to 50% of the total reservation amount.

Non-Refundable Rate

These are special discounted rates that require full pre-payment at the time of booking. No refunds will be issued for cancellations, modifications, or no-shows, regardless of when the cancellation is made.

Group Bookings

Group bookings (5 or more rooms) are subject to special cancellation policies that will be outlined in the group contract.

3. How to Cancel or Modify a Reservation

You can cancel or modify your reservation through any of the following methods:

  • Online: Log in to your account on our website and access your reservation details
  • Email: Send a cancellation request to [email protected]

  • Direct contact: Reach out to the specific hotel where you have a reservation

When cancelling or modifying a reservation, please provide the following information:

  • Reservation confirmation number
  • Full name of the guest
  • Check-in and check-out dates

4. No-Show Policy

If you fail to check in on your scheduled arrival date without prior notification (a "no-show"), the following policies apply:

  • For Flexible Rate reservations: A charge equal to one night's stay will be applied
  • For Semi-Flexible Rate reservations: A charge equal to the entire reservation amount will be applied
  • For Non-Refundable Rate reservations: No refund will be issued, and the full pre-payment will be retained

If you anticipate a late arrival, please contact the hotel directly to inform them and hold your reservation.

5. Early Departure Policy

If you check out prior to your scheduled departure date, the following policies apply:

  • For Flexible Rate reservations: An early departure fee equal to one night's stay may be applied
  • For Semi-Flexible Rate reservations: No refund will be issued for the unused nights
  • For Non-Refundable Rate reservations: No refund will be issued for the unused nights

We recommend notifying the hotel of any changes to your departure date as soon as possible.

6. Refund Process and Timeline

When a refund is due according to our cancellation policy, the following process and timeline apply:

  • Refunds will be processed to the original form of payment used for the reservation
  • Credit card refunds typically take 7-14 business days to appear on your statement, depending on your card issuer
  • Bank transfers may take 10-15 business days to process
  • For payments made through third-party booking platforms, the refund will be processed according to their policies

Please note that we cannot expedite the refund process once it has been initiated, as processing times are dependent on financial institutions.

7. Special Circumstances

Force Majeure

In the event of force majeure circumstances (such as natural disasters, acts of government, pandemics, or other extraordinary events beyond our control) that prevent you from traveling to our property or us from providing accommodations, we may offer more flexible cancellation options at our discretion.

Medical Emergencies

In cases of documented serious medical emergencies that prevent travel, we may waive cancellation fees at our discretion. Valid medical documentation may be required.

Death in the Family

In the unfortunate event of a death in the immediate family that prevents travel, we may waive cancellation fees at our discretion. Documentation may be required.

Requests for cancellations due to special circumstances should be directed to our customer service team as soon as possible, along with any supporting documentation.

8. Third-Party Bookings

If you made your reservation through a third-party booking platform (such as Expedia, Booking.com, or a travel agent), the cancellation policy of that platform may apply. Please refer to your booking confirmation or contact the booking platform directly for their specific cancellation policies.

Please note that we cannot process cancellations or refunds for reservations made through third parties. You must contact the booking platform directly to request a cancellation or refund.

9. Changes to This Policy

Aqlobxey Hotels & Resorts reserves the right to modify this Cancellation Policy at any time. Changes will be effective immediately upon posting on our website. The policy in effect at the time of your booking will apply to your reservation.
